LINKITY PRO PRIVACY POLICY

Personal Identifiers

Linkity application stores the user information provided in the user information/management pages.

The information includes:

• Name *
• Phone *
• Email *

If the way how employee organisation uses Linkity requires (for example organisation calculates and/or pays payrolls via Linkity or does customer invoicing via Linkity) Linkity may also collect more information such as:

• National identity code
• Employee number
• Other identifiers (as required by tax officials or integrations to employers HR etc systems)
• Address
• Date of birth
• Taxation card information
• Bank account
• Organisational/employment related information such as title, business unit, supervisor etc
• Other information needed for payroll calculation and payment
• Other information required by tax officials

The information marked with asterisk (*) are mandatory. Other data is collected/stored if the used functinalities require it.

Work Hours / Work Shifts

Depending on employer organisation configuration, Linkity is typically used for workshift planning and work hours collection. This information is collected for the purpose of:

• Work planning and scheduling
• Calculating due payrolls for workers
• Legal purposes (Finnish law requires that companies above specific size are required to track workers work hours)
• Billing

Location

Depending on employer organisation configuration, the Linkity application may gather and store location information on worklogs that are created with timer functionality. The timer functionality may store the location of the device during the time timer is running. Users can prevent this by disabling location services from the mobile devices security/privacy settings.

If user configures an active geofence in the Settings/Geofence the Linkity listens the phone location in order to determine when the phone arrives/leaves the location specified in the geofence. Depending on how geofence is configured, Linkity uses this information for either starting/stopping a worklog timer or generating location events which are used for worklog generation in events wizard.

Network

If user enables the WLAN worklog feature in the WLAN worklog settings, the Linkity listens what WIFI networks are visible in the neighbourhood. Linkity uses this information for starting and stopping worklog timer.

Linkity listens for NFC (near field communication) tags. Linkity uses this information for starting/stopping worklog timer automatically when a NFC tag with Linkity specific information is shown to the mobile phone.

Messages

Depending on employee organisation configuration the user may use Linkity to send SMS/email messages to other users using Linkity's messaging feature. Message sending is always user initiated e.g. Linkity does not send any messages automatically. Messages sent in such manner are stored in the server.

Linkity does not access messages sent from the device outside Linkity application

Camera

Linkity uses phone camera when user updates his avatar icon. Users can also capture and upload project/invoice image attachments by using phone camera. Avatar images and image attachments uploaded in such manner are stored in the server. Camera usage is always user initiated.

Local Files

Linkity allows uploading local images/media files as project/invoice attachments and for that purpose it does access local image/media files. Files uploaded in such manner are stored in the server. Attachment uploading is always user initiated.

3rd Party Applications

Linkity supports viewing project/invoice attachments in 3rd party formats (such as PDF) using 3rd party viewers and for that purpose it uses local/USB storage.

Device Information / Crash Logs

For troubleshooting and technical support purposes, the Linkity application does provide the server technical information about the mobile device such as device model, operating system version and installed Linkity app version.

Linkity can send push messages to the device and for that purpose it stores a device identifier to the server

Usage Statistics

For development purposes, Linkity does collect anonymous statistics about how the application is used. These statistics are not associated to the user e.g. they are anonymous

Sharing Data

The data collected and stored is owned by the employee organization.

Linkity does share information to:

• Employee organisations other systems having integrations with Linkity. For example:
  • HR systems
  • Internal billing systems
  • Internal business intelligence systems
  • External payroll payment systems used by the employee organisation
• Invoice delivery system (in some organisations invoices contain workers names whose work is invoivoiced)
• Tax officials and other officials as required by the law
• Bank when paying emploees payrolls
• Bank when delivering payroll payslip electronically

Advertising and User Profiling

Linkity does not contain ads and or profile users for advertising purposes. Linkity does not sell or otherwise provide collected information to 3rd parties.
